Academy Terms

Effective 2026-10-01 Version 2026-10-03.1 16 min read

These Academy Terms are an agreement between your academy and Lazzat Omir, a sole proprietor established at 7 Dombyra Street, Medeu District, Almaty A25C8G2 (050010), Republic of Kazakhstan, trading as OP BJJ. In this document, "OP BJJ", "we" and "us" mean that person.

These terms apply to you if you buy an Academy plan on OP BJJ. They sit on top of the [Terms of Service](/terms) and the [Privacy Policy](/privacy) — where this document and those disagree about an academy, this document wins.

"You" here means the academy: the business or club that holds the subscription, and the owner who bought it. "Your members" means the athletes you have verified into your academy on OP BJJ.

1. Our roles, and yours

An Academy plan gives your coaching staff access to your members' training records — attendance, rounds and intensity, technique success rates, promotion history, analysis counts, the AI credits each member's analyses used, and the retention insights described in Section 5.

That means you and OP BJJ each decide part of how your members' personal data is handled, so we are joint controllers for the roster, attendance, promotion, allowance and retention features. This section and the four that follow are our arrangement under Article 26 of the GDPR and the equivalent provisions of any other applicable data protection law.

The division, plainly:

  • We run the platform, hold the data, secure it, publish the Privacy Policy, operate the export and deletion tools, and answer members' rights requests.
  • You decide who you enrol, who among your staff sees it, what you do with what you see, and whether you hold the consents your own jurisdiction and affiliation require.
  • Either of us can be approached by a member exercising their rights. Section 4 says what happens then.

Members without an account are different. For children you add to your roster who do not have an OP BJJ account (Section 11), you are the controller and we are your processor. We handle those records only to run your roster, attendance, classes and promotions for you, and only on your instructions. Section 11 sets out that arrangement. Everything else in this section applies to members who hold their own account.

The Privacy Policy is the notice given to members about all of this. You do not need to write your own, but you do need to have read it.

2. What you confirm when you buy

By purchasing an Academy plan, and by verifying any member or adding a child to your roster, you confirm that:

(a) Every member you enrol or verify is genuinely a member of your academy. Verification is a statement that this person trains with you. It is not a way to extend academy-funded AI to friends, to athletes at another gym, or to accounts you control.

(b) You have told your members that their training record on OP BJJ is visible to your coaching staff, and that you may ask for the retention insights described in Section 5.

(c) You hold appropriate guardian consent for every member under 18 that you enrol or verify, and you comply with the safeguarding obligations of your jurisdiction and your affiliation. We enforce our own junior restrictions in the software; that does not discharge yours.

(d) You will not verify, enrol, or retain access to a person who is not your student. If someone leaves your academy, or stops being your student, you remove them.

(e) The information you give us about your academy is accurate — its name, its location, and who is entitled to buy on its behalf.

(f) For every child you add without an account, a parent or guardian has agreed to your academy keeping that record on OP BJJ, and you have given them the information in the Privacy Policy, Section 4, "Children under 13 on an academy's roster". You will remove the record if that agreement is withdrawn.

Breaching (a), (c), (d) or (f) is a material breach of these terms.

3. Your staff

Access to member data is limited to the coaches and owners you appoint on the platform. You are responsible for who you appoint, for what they do with the access, and for removing it when someone leaves your staff. Appointing a coach gives that person sight of your members' training records; do it deliberately.

Staff also see the first and last name a member gives when joining your academy. Use it to run your academy, and nothing else.

Staff access does not extend to members' email addresses, passwords, private notes, coaching chats, or uploaded footage beyond the analyses produced for your academy. If you believe a member of your staff has misused their access, tell us at support@opbjj.com and we will help you investigate and, where warranted, log it as a security incident.

4. When a member asks about their data

Members can export or delete their own data at any time from their own Settings, and can contact us directly. If a member comes to you instead:

  • Send them to Settings, or to support@opbjj.com. Do not answer on our behalf and do not tell them what we will or will not do.
  • Do not obstruct a request. A member's right to delete their account does not depend on your approval, on their fees being settled, or on their leaving on good terms.
  • We will tell you if fulfilling a request removes something from your academy's records, so a roster or a promotion queue does not change under you without explanation.

Some records survive a member's deletion because they are not solely theirs — sparring and competition results name an opponent, and a promotion you awarded is your academy's account of its own grading standards. Those are retained in anonymised form. The Privacy Policy, Section 8, explains this in full, and it is the answer to give a member who asks you why their name is gone but a result is not.

5. Retention insights — what they are, and what they are not

The retention insight is a short summary, produced by an AI model, explaining a possible reason a member's attendance has changed, from their training record only. It draws on attendance pattern, class types, rounds and intensity, technique success rates, which submissions they have been caught in, any break the member logged in the app (type and dates), and the member's latest reply to a message from your coaches in the last 90 days (if it mentions an injury, only that it mentions a physical setback). It never uses their email, their notes, their AI coaching chats, or their footage.

It is a prompt to have a conversation. It is not a diagnosis, not a medical opinion, and not a fact about that person.

By using it you agree that:

(a) You will not make a decision about a member's membership, pricing, access, safety clearance, or standing in your academy on the basis of an insight alone, without speaking to them.

(b) You will not treat an insight as information about a member's health, and you will not record it or repeat it as though it were.

(c) You understand the model can be wrong, and that a thin record produces a thin guess.

(d) You will keep insights within your coaching staff. They are not for other members, for social media, or for anyone outside your academy.

A member can object to retention insights at any time, and we will exclude them. You will simply see nothing in place of the insight; we will not tell you who objected, and you may not require a member to permit them as a condition of training with you.

Retention insights are never produced for members without an account. For them you see attendance only: how often they have come and when they last did.

5a. Tiers, members and billing

Three tiers. Academy Base ($149 a month, 50 members included) gives your staff the academy tools; your members use their own plans and get no AI from your academy. Academy Plus ($249 a month, 100 members included) gives your members the features of the athlete Pro plan. Academy Overpowered ($549 a month, 300 members included) gives your members the features of the athlete Overpowered plan, including Competition mode. On Plus and Overpowered your members' AI comes from your academy's shared budget (Section 6), not from a personal subscription; a member's own personal plan stays separate.

Members and seats. Each extra member costs $1 a month on every tier. You can't verify more members than your seats. When you reach the limit we show you the price of more seats, and nothing is charged until you add them. Seats you add are charged straight away, in proportion to the rest of your billing period. Seats you remove come off at your next renewal. You can't go below the number of members you have now: remove members first, and we never remove anyone for you.

Your AI budget. Academy Plus includes a monthly budget of about 1184 roll analyses and Academy Overpowered about 2369, shared across all your members at today's AI cost; these are estimates and move with AI costs. You can choose a bigger monthly budget (Academy Plus: $80 for +$69 a month, $150 for +$189 a month, $300 for +$449 a month; Academy Overpowered: $150 for +$119 a month, $300 for +$379 a month). The budget can't be less than $0.25 per member, so a larger roster may need a bigger budget, and we show you the smallest one that fits before you pay. Raising it applies straight away, charged in proportion; lowering it applies from your next period.

Yearly plans. A yearly plan costs ten times the monthly tier price ($1490, $2490 and $5490 a year) — two months free compared with paying monthly — and is paid upfront. Seats or budget you add during the year are charged in proportion to the rest of that year. There is no change-of-mind refund of a yearly payment (Refund Policy, Section 1).

The price you see is the price you pay. Your total is shown before you pay and is the amount charged.

If we change the price of a plan you already have. We email the account owner at least 30 days before a higher price applies. Until then, and until your next renewal after that date, you keep paying what you pay today. You can cancel or move to another tier before the new price applies, with no fee. If you do nothing, the new price applies from that renewal. A yearly plan keeps its price until the end of the year you've paid for. A lower price applies from your next renewal without notice.

6. AI credits, Credit Packs and allowances

Your academy's roll analyses are paid for in AI credits; each member has an allowance. Credits are whole numbers. Your balance is the total of every credit added to and used from your account, and you can see each entry in the app. Coach messages are never credits — they have their own limits: a daily cap on every plan, and, for members using an academy's budget, a monthly allowance the owner sets the same way as the analysis allowance.

Monthly credits. Your plan adds a monthly grant of credits shared across your members; the amount for Academy Plus and for Academy Overpowered is shown on the plan before you buy. At today's AI cost a month's grant is about 1184 and about 2369 roll analyses respectively, for all your members together; the figure is an estimate and moves with AI costs. Monthly credits expire at the end of the month they were granted for and don't carry over. Each member also has a monthly allowance, which is a cap and not an amount reserved for them: up to 30 and up to 60 analyses per member each month respectively, and only while your academy's credits last. When they run out, roll analysis stops for every member until the next grant or a Credit Pack. You may raise or lower the allowance for any verified member of your academy, between 0 and 600.

An allowance you set is a budget, not a promise to that member. You can change it at any time, the change takes effect immediately, and the member can see the figure that applies to them. Setting an allowance to zero removes that member's roll analyses; it does not remove anything else, and they keep their training log, their coach messages and their Film Room.

Credit Packs. You can add credits by buying a Credit Pack. Each pack shows its credits and its price before you pay. Pack credits expire 12 months after purchase. They have no cash value, can't be transferred or exchanged for money, and can only be used for AI features on OP BJJ. A Credit Pack may be unavailable for a time, for example while a payment on your account is under review or your academy has reached a purchase limit; the app tells you why before you pay.

Which credits are used first. Each monthly grant and each pack is kept as its own lot, with its own expiry. An analysis uses the credits that expire soonest first. When a lot expires, only what is left unused in that lot is removed; an expiry never reduces any other lot.

How many credits an analysis uses. The app shows how many credits each kind of analysis uses before you buy and while you use it. Credits in a lot are used at the rate that applied when that lot was added. We may change the rate for monthly grants and packs added later, and we will tell you at least 30 days before an increase applies. If a change in our AI provider's terms or in the law forces us to change the rate for credits you already hold, we will give you the same 30 days' notice, and you may ask for a refund of the unused part of any pack it affects. Any number of analyses shown to you is an estimate, always marked as approximate.

Before an analysis starts, we set aside enough credits for the most it could use, including retries. When it finishes, only what it actually used is taken, and the rest goes back to your balance. If it fails or times out, everything goes back. If there aren't enough credits, the analysis doesn't start and the app says why. Your balance never goes below zero.

Limits that protect your balance. You set a daily cap for each member, and a default cap is on unless you turn it off. There is also a daily ceiling for your whole academy and a limit on how often AI requests can be made. Members under 13 have no account and never use credits. We alert you in the app when 80% of your credits are used and again when none are left.

If your subscription lapses, your pack credits are held, not removed, and come back when you resume, as long as they haven't passed their 12-month expiry. Monthly credits end with their month as usual. Refunds, chargebacks and what happens to a pack's credits when one happens are covered by the [Refund Policy](/refund), Section 5.

What you and your members see. You see each pack's credits and price, your balance, the credits each member and each feature used, and which credits expire when. Your members see how many analyses they have left, rounded down.

Each academy tier states its own monthly credits for members before you buy, and some tiers provide none. Where your tier includes them, your members' coach messages and roll analyses are drawn from your academy's budget rather than from their personal subscriptions — so what a member gets depends on the tier you hold, and when the academy's credits are used up their roll analyses stop until the next monthly credits arrive or you buy a Credit Pack. Where your tier includes no member budget, your members need their own personal plans for coach messages and roll analysis. Features you use as the owner — including retention insights on your roster — are part of your plan and are not drawn from the member budget.

7. Your members' own accounts

A member's account is theirs, not yours. It survives them leaving your academy, and it goes with them if they move to another gym. You cannot delete a member's account, read their coaching chats, see their footage outside the analyses produced for your academy, or transfer their account to someone else.

Removing a member from your academy removes your staff's access to their record and any allowance override you set for them. It does not delete their account or their training history.

8. Ending an Academy plan

You may cancel at any time in Settings → Billing; you keep access until the end of the paid period, after which your academy reverts to no academy-funded AI and your staff lose access to member records. Your members keep their own accounts and their own history throughout.

We may suspend or terminate an Academy plan for a material breach of Section 2 — in particular verifying people who are not your students — and will tell you why. Where we terminate for a reason other than your breach, we refund the unused prepaid period and the credits left in each Credit Pack, in proportion to its price.

9. Liability

Sections 11 (Liability) and 14 (Governing law) of the [Terms of Service](/terms) apply to these terms. As between us, each of us is responsible for our own compliance failures: we do not indemnify you for a claim arising from your enrolling a member without the consents you confirmed in Section 2, and you do not indemnify us for a claim arising from our own handling of the data.

Nothing here limits a member's rights against either of us. Under Article 26(3) of the GDPR a member may exercise their rights against either joint controller regardless of how we have divided things between ourselves.

11. Children on your roster without an account

You can add children under 13, and other junior members who do not have an account, to your roster without them signing up. They never log in, and nothing about them is public.

What the record holds. Name, birth year (never a full date), belt and stripes, the classes they attend, their attendance, their promotions, short coach notes chosen from a fixed list of tags, and a parent or guardian's name and email. Nothing else. There is no footage, no rolls, no chat, no photo, no free-text notes, and no AI processing of any kind.

Our role. For these records you are the controller and we are your processor. We will:

(a) process them only to provide your roster, attendance, class, promotion and parent-note features, and only on your documented instructions, which are your use of those features and these terms;

(b) make sure everyone at OP BJJ who can access them is bound by confidentiality;

(c) protect them with the security measures in the Privacy Policy, Section 10;

(d) use only the sub-processors listed below, tell you at least 30 days before adding or replacing one, and let you object; if you object and we can't accommodate it, you may end your plan and get a refund of the unused prepaid period;

(e) help you answer a parent's request to see, correct or delete a record, and pass on any request that reaches us within 5 business days;

(f) tell you without undue delay, and within 48 hours of becoming aware, of any breach affecting these records, with what we know and what we are doing;

(g) delete them when you remove them, and, when your Academy plan ends, keep them for 90 days so you can export them or resubscribe, then delete them within 30 days;

(h) give you the information you reasonably need to show you are complying, and answer reasonable written audit questions once a year.

Sub-processors for these records: Cloudflare, Inc. (hosting and database) and Resend (sending your parent notes). Google, and every other AI provider, never receive them.

Transfers. Where you are in the EU, the EEA or the UK, the EU Standard Contractual Clauses (Module 2, controller to processor) and, for the UK, the UK International Data Transfer Addendum are incorporated into these terms. You are the data exporter and we are the data importer. The details they require are in this section, and the security measures are those in the Privacy Policy, Section 10.

Your part. You decide who is added, you hold the parent's agreement (Section 2(f)), you keep the details accurate, and you remove a child who leaves. Parent notes are sent in your academy's name, and you are responsible for what they say. Use them for that child's training only.

Turning 13. A roster record never becomes an account by itself. If the child later signs up, you can link their account to the roster record only after they confirm it by email code, or their parent does where they are under 18.

12. Changes

We version this document and will notify you in the app of material changes at least 30 days before they take effect — longer than the consumer notice period, because a change here may require you to change something in your own gym.
